Eligibility

Expectations
These expectations should ensure that co-sponsored events align with OAI’s mission while maintaining clear guidelines for event planning, execution, and thoughtful consideration of audiences and engaged participants.
1. Alignment with Mission
Events and programs must align with the Office for Arts Integration’s (OAI’s) mission: To cultivate and amplify the arts and creative practice in every area of the university – teaching, research, student life, and community engagement; to advance the arts in our role as a Land Grant Institution* for the citizens of our multifarious communities in Illinois and beyond; to champion the impact of the arts on knowledge production in our region and the full breadth of the university’s reach.
*We acknowledge that Land Grant institutions are founded on the dispossession of Native land. We engage our respective communities in consideration of the histories of forced labor, meanings, and implications of land grant as it relates to the work we do, support and promote.
2. Accessibility and Public Engagement
All events co-sponsored by the OAI must be designed to actively engage students, faculty, and community members. To the best of one’s ability, events must also be accessible to individuals with disabilities by adhering to ADA standards.
If you need support and/or ideas with how to make your space and/or event inclusively engaged for participants, please contact the ADA Division of the Office for Access & Equity at accessandequity@illinois.edu.
Email Office of Access & Equity3. No Private Fees or Charges
No outside group may charge participants for attendance. All co-sponsored events must be free and open to the public, unless pre-approved by the OAI under specific circumstances.
4. Event Planning and Preparation Time
Applicants must submit their request a minimum of 4 weeks in advance of the proposed event to allow for adequate planning, publicity, and logistical coordination. Larger-scale projects may require additional lead time, please plan accordingly.
5. Use of Space
Applicants are responsible for securing appropriate venues for their events. OAI may assist in identifying spaces, but applicants should ensure their event space aligns with the size and nature of their program. Spaces containing artworks, sensitive materials, or performance events may have additional requirements and/or restrictions. It is the responsibility of the applicant to secure unit/college/venue permissions for the event to take place.
6. Food and Beverage Policy
Food and beverages are only permitted in designated spaces that do not contain sensitive materials (e.g., artworks or flooring for performance work). Applicants must ensure compliance with food handling and university alcohol policies when applicable.
7. Sound and Music Levels
If the event includes live music or sound elements, applicants must coordinate with the appropriate personnel to ensure sound levels are appropriate for the venue.
8. Filming, Photography, and Media
Please have a plan for the documentation of the event(s)—photography, video, audio, etc., that can be shared with the OAI. The OAI reserves the right to use submitted media to advance the work of the OAI, artists, and arts on campus.
9. Compliance with Safety and University Policies
All events must comply with university safety guidelines, including the prohibition of tobacco, hazardous, or flammable materials in event spaces on campus. Off campus, please consult about expectations and requirements of the engaged site.
10. Post-Event Report
If your application for the OAI Co-Sponsorship funding is approved, you will be contacted via e-mail with an award letter. This letter will include information about your obligation to complete a Post-Event Report within 30 days of the completion date of the event(s). A link to the Post-Award Report form will be found in the award letter. You may also click this link to complete the OAI Co-Sponsorship Post-Award Report.
11. Crediting
In all announcements and publicity for this event, please amplify the work and value of the Arts by crediting as follows: “This initiative has been supported by the Office for Arts Integration at the University of Illinois Urbana Champaign.”
We suggest new applicants review our Best Practices resource to assist in the smooth operation of artist engaged projects.
